In honor of National Receptionist Day coming up soon, let's talk about something receptionists do for most businesses — they hold the power of the first impression. They're usually the first person clients see and that first interaction can really set the tone.
Even if your business doesn't have a receptionist, that first meeting with a client is still an critical moment you can use to your advantage. As the saying goes, "You never get a second chance to make a first impression," and in business, that couldn't be more true.
Let's talk about how to make that specific moment count!
1. Prepare before they arrive
First impressions don't start when the client walks in - they start way before that! If you're expecting to meet your clients, you've got some time to make it right. Take some time to get ready by clearing up your workspace, checking your notes and reviewing who you're meeting.
If not, there's a chance it may go south, so prepare for some awkwardness. Forgetting someone's name or fumbling to find their file are some mistakes you could potentially make. When a client walks in and sees you ready for them, it sets a tone of respect and professionalism. That confidence will show.
2. Match your look to your brand
What you wear says a lot more about your business without you having to speak at all. You don't have to dress over the top, but your outfit should reflect what your business stands for.
If your brand is relaxed and creative, you have the flexibility to look casual. If it's more formal, a clean and professional look will set a high standard. Let's say your business is creative and playful; your appearance and space should feel like that personality. Even the way you design your office, the kind of colors you wear or the way you carry yourself can reinforce who you are and what your business stands for.
3. Greet your clients with genuineness
People can feel authenticity. A warm, sincere greeting can do more than any script ever could. Smile with your eyes, call them by their name and show how excited you are to meet them. Small talk is cool, but remember to be human.
You can offer them a drink or reference something you know about them. These are actions that stick with people long after the meeting ends.
4. Perfect the handshake
It's old school, but it works! A good handshake paired with solid eye contact speaks volumes about your confidence. It's a world-famous gesture!
If handshakes aren't your thing, there are substitutes. A confident nod, a friendly wave or even a verbal cue can do the trick. The energy behind these actions is what matters most.
5. Create a welcoming atmosphere
We mentioned matching the look to your brand earlier, so that includes your environment. Ask yourself:
Is your waiting area comfortable? Is the lighting cozy or bright enough? Would you feel awkward walking in as a client? These are important things you should address to make people feel at ease.
One thing to note is not to overdo it. Overdecorating can feel like clutter if it doesn't fit the aesthetic of your space. Other than that, let your creativity blend in with your business.
6. Tell a story instead of a pitch
No one enjoys sitting through a sales pitch, even if that's what the end goal is - to sell. What's worst is one that sounds robotic and rehearsed. But stories? People love stories. When you share the "why" behind your business, they will resonate.
The moment you knew you had something worth building is a story that many will feel for. They may even root for you to succeed by doing business with you. Storytelling helps people connect on such a deep level - it reminds us that we're all on the same team.
Stay true to your brand and show up with genuine energy. It doesn't have to be perfect, just true to you and your business only. That kind of authenticity? It leaves a lasting impression. In today's world, that's a lot more powerful than any pitch. First impressions can be a superpower for you today!
